Why we built 24Recept

The Problem
The missed call that cost a clinic its patient

It started with a conversation between our founders and a physiotherapy clinic owner in 2023. She had just lost a long-term patient — not because of poor treatment, but because they called to book a follow-up at 9 PM on a Friday and nobody picked up. By Monday, the patient had found someone else.

"We had 4 missed calls that night. All of them went to a competitor who had an online booking page. We didn't even know we'd lost them."

Talking to dozens of clinic owners, salon managers, and wellness practitioners, we heard the same thing repeatedly: bookings were slipping through the cracks — after hours, during busy periods, when staff were with another customer.

The Insight

In 2023, WhatsApp had over 2 billion active users. Customers were messaging friends, ordering food, and resolving complaints with major brands. Yet the humble appointment booking still required a phone call or a web form.

We asked: what if an AI agent could live inside WhatsApp, handle every booking conversation naturally, in any language, any time of day? What if it answered phone calls too? What if customers could scan a QR code on a business card and book on the spot?

That question became 24Recept.

How We Built It
AI-first. Multi-channel. Purpose-built for appointments.

We spent over a year building the AI conversation engine — a 9-state WhatsApp bot powered by GPT-4o-mini that understands natural phrasing like "next Tuesday morning" or "the slot after lunch". We trained intent classifiers, built language detection, and wrote a date/time extractor that handles colloquial expressions across languages.

We added an AI voice bot so phone calls could be handled with the same intelligence. We added QR code booking so a poster on a clinic wall could become a booking channel. We built a rule-based dynamic pricing engine — peak/off-peak, early-bird discounts, and demand surge rules — per service, per day, per time window, automatically across all channels.

The missed-call moment
A conversation with a physio clinic owner about a lost patient sparked the idea. Dozens of similar stories confirmed the gap: appointment businesses were losing bookings to silent phones and passive booking forms.
Mid 2023
WhatsApp bot prototype
First version of the AI WhatsApp booking bot went live with 3 clinics as beta partners. GPT-4 handled intent. A 5-state conversation engine confirmed slots and sent SMS confirmations. 100% of after-hours bookings on day one were successful.

Voice bot + QR code channels added
Integrated the AI voice bot with real-time availability checks. Added QR code booking — printed at reception desks across pilot businesses. Each new channel drove a 30%+ uplift in booking volume.

Built the 3-stage pricing engine: peak/off-peak multipliers, early-bird discounts, and demand surge rules — per service, per time window. Added GPT-powered patient report generation and Stripe/Razorpay payment collection.
